Our Commitment to Privacy
Over the past few years, privacy has become a very important topic. It is important for you to know what we are doing with your data. Our intention at Vodia is to generate revenues through our products and services; it is not our business model to make money with your data.
This notice explains our online information practices and the choices you can make about the way your information is collected and used. To make this notice easy to find, we make it available on our homepage and refer to it at every point where personally identifiable information may be requested.
This Privacy Policy applies to the information and data collected by Vodia as a controller, including the information collected on our Websites (vodia.com, www.vodia.com/de/, www.vodia.com/fr/, blog.vodia.com, doc.vodia.com, blog.vodia.com, and forum.vodia.com) or through other channels as described below. It will also describe the choices that you have regarding use, access, and correction of the personal information that we collect. If for any reason you do not agree with the Privacy Policy, you should not use the Vodia websites.
This Privacy Policy does not apply to any of the data that Vodia collects and/or processes on behalf of our customers as a processor for third party vendors such as billing information that gets sent to an external payment gateway provider. Your use of the Vodia PBX licenses or hosted services as a customer of Vodia, including use of our associated mobile applications (Mobile Apps), is covered under the Vodia Product Privacy Policy.
Because we periodically update this Privacy Policy, the changes will be reflected on this page and, if the changes are significant, we will provide a more prominent notice by sending you an email notification. It is our suggestion however that you periodically revisit this page to refresh your knowledge of the current policy. We will also keep prior versions of this Privacy Policy in an archive for your review.

1. Information We Collect
Our Use of the Newsletter Service
We have a Newsletter Service that we use to provide up-to-date information, news, and other notices to people who might be interested in them. In order to receive this periodic newsletter, you have to manually sign up for it on our website: vodia.com. Information that we collect and manage using the Newsletter Service for our own marketing belongs to us and is used, disclosed and protected according to this Privacy Policy.
The Partner Portal Service
In order to become a Vodia Reseller, Partner, VAR, MSR, or Customer, you must register with us through our website. The information we collect here is minimal, but due to the nature of our business and the products and services we provide, it is necessary to collect and monitor more data than an anonymous user or Newsletter Service subscribers.
When You Visit our Websites
You are free to explore the Websites without providing any Personal Information about yourself. When you visit the Websites or register for the Newsletter Service, we request that you provide Personal Information about yourself, and we collect Navigational Information.
Personal Information
On some pages, you can order products, make requests, and register to receive materials or newsletters. The types of personal information collected at these pages are: Your name, address, email address, password for your account, the name of your company, phone number, your language, your IP address, and your purchase from us. Personal Information can also include information about any transactions, both free and paid, that you enter into on our websites, and information about you that is available on the internet, such as from Facebook, LinkedIn, Twitter and Google, or publicly available information that we acquire from service providers.
Navigational information refers to information about your computer and your visits to our websites such as your IP address, geographical location, browser type, referral source, and/or length of visit and pages viewed. Please see the "Use of Navigation Information" section below. Payment information includes information we collect and process from you when you subscribe to the License Service, including credit card numbers and billing information, using third party PCI-compliant service providers. Except for this, we do not collect Sensitive Information from you.
Log Files
Depending on the software that you use from us, we collect information about the identity of the server that you are using, such as MAC addresses and IP addresses, operating system type, firmware versions, or hard disk serial numbers. We need that information to make sure that licenses are used only for their intended purposes. For some license types, we also collect information about the number of extensions, ACD, hunt groups and other accounts, so that we can generate metered invoices.
Information About Children
The Websites are not intended for or targeted at children under 16, and we do not knowingly or intentionally collect information about children under 16 If you believe that we have collected information about a child under 16, please contact us at privacy@vodia.com, so that we may delete the information.
Additional Notes
Credit card information is stored by an external payment gateway provider (authorize.net). We don't collect credit card information on our website.
Billing information is stored by another external provider (Freshbooks). There we store data associated with your account, such as addresses and purchases that you have made, open amounts, credits, currencies, payment terms, usage data, and other billing related information.
For our customer relationship management, we are using a CRM system called Nutshell. In there we store information about you, like addresses, phone numbers, names, and about activities like when we have contacted you, what kind of projects your may be working on.
If you participate in our forum, we store your email address and login password along with your private and public messages. The private messages are used only within Vodia; the public contributions are available to the public Internet.
Out email communications contains a lot of unstructured information. The information that we collect there is what you provide to us. We store this information on an external platform and depending on the email client that our employees are using, possibly also on the local hard drive of the used computer.
2. How We Use The Information We Collect
Compliance with Our Privacy Policy
We use the information we collect only in compliance with this Privacy Policy. Customers who subscribe to our Newsletter Services are obligated through our agreements with them to comply with this Privacy Policy. We use the information you provide about yourself when placing an order only to complete that order. We do not share this information with outside parties except to the extent necessary to complete that order. We use the information you provide about someone else when placing an order only to ship the product and to confirm delivery. We do not share this information with outside parties except to the extent necessary to complete that order.
We use return email addresses to answer the email we receive. Such addresses are not used for any other purpose and are not shared with outside parties. We use the email addresses that you register on Vodia websites for updates on our new products and services; however we do not share this information to third parties except when using mail hosting companies to deliver the information.
We use non-identifying and aggregate information to better design our website and to share with advertisers. For example, we may tell an advertiser that X number of individuals visited a certain area on our website, or that Y number of men and Z number of women filled out our registration form, but we would not disclose anything that could be used to identify those individuals.
Finally, we never use or share the personally identifiable information provided to us online in ways unrelated to the ones described above without also providing you an opportunity to opt-out or otherwise prohibit such unrelated uses.
We Do Not Sell Personal Information
We do not sell your Personal Information to any third party.
We may, from time to time, contact you on behalf of external business partners about a particular offering that may be of interest to you. In those cases, we do not transfer your Personal Information to the third party.
Customer Testimonials and Comments
It is not uncommon for us to post customer testimonials and comments on our websites. We obtain each customer's consent via email prior to posting the customer's name and testimonial.
Security of your Personal Information
We use a variety of security technologies and procedures to help protect your Personal Information from unauthorized access, use or disclosure. We secure the Personal Information you provide on computer servers operated by Amazon Web Services in a controlled, secure environment, protected from unauthorized access, use or disclosure. Our websites provide links to other websites. We are not in control of those websites and the provision of such links in no way constitutes our endorsement of these other websites, content of those websites, their owners, or their practices. Be advised that this Privacy Policy does not apply to other websites that our website links to. You will need to review the Privacy Policies of those websites to learn more about them.
Public Forums
We have message boards, blogs, and community forums. Please keep in mind that if you directly disclose any information through our public message boards, blogs, or forums, this information may be collected and used by others. We will correct or delete any information you have posted on our websites if you so request, as described in "Opting Out and Unsubscribing" below.

If we (or our assets) are acquired by another company, whether by merger, acquisition, bankruptcy or otherwise, that company would receive all information gathered by Vodia on the Websites, Newsletter Service, and Partner Portal Service. It is Vodia’s right to use or disclose your Personal Information if required by law. Reviewing, Correcting and Removing Your Personal Information

On our invoicing platform, you can make corrections through your online account there.
You can update or delete credit card information that you have stored through our web site from that same location or ask us to update or delete that information for you.
You can correct factual errors in your personally identifiable information by sending us a request that credibly shows error.
To protect your privacy and security, we will also take reasonable steps to verify your identity before granting access or making corrections.
